EasyBTL Institutional Governance

Informational Purposes Only

EasyBTL is a property management software platform. The "ROE Engine," "Real Estate Alpha," and institutional benchmarking tools provided herein are for tracking and informational purposes only. These metrics do not constitute financial, investment, or legal advice. EasyBTL does not provide personal recommendations or suggest the acquisition or disposal of any specific financial products.

1. Subscription & Access

By selecting a "Pro" or "Elite" tier, you agree to establish a monthly Standing Order. EasyBTL operates on a manual verification cycle; access to tiered features (including Alpha Intelligence and Tax Reporting) is provisioned upon verification of funds. 1-Property portfolios may access the "Basic" tier at no cost.

2. Financial Data & Alpha Logic

Our "Shadow Portfolio" simulation tracks performance against indices like the S&P 500 and L&G Tech Index. While we utilize professional market data sync engines, we are not responsible for inaccuracies in third-party data or user-inputted values. Past performance tracked via our engine is not indicative of future results.

3. Data Stewardship & Tenants

As the Landlord, you act as the Data Controller for any tenant data (Name, Email, Phone) or Director data uploaded to the platform. EasyBTL acts as a Data Processor, maintaining this data securely within your private organization silo using Row Level Security. You warrant that you have the legal right to process and store this information.

4. Compliance Accuracy

EasyBTL provides automated alerts for compliance certificates (EPC, Gas, EICR) and mortgage expiries. These are reminders only. The ultimate legal responsibility for meeting statutory housing requirements and mortgage obligations remains solely with the Property Owner.

5. Limitation of Liability

To the maximum extent permitted by UK law, EasyBTL shall not be liable for any financial losses, including those arising from “Dead Equity” signals, remortgage decisions, or tax calculations (including FRS 105 reports). EasyBTL expressly excludes all liability for any tax penalties, surcharges, interest, fines, or filing errors incurred by the Landlord as a result of relying on data, reports, or outputs generated by the platform.

Data and reports for FRS 105 micro-entity accounting statements are based solely on user-inputted data and must be reviewed and verified by a qualified accountant before submission to HMRC. The information provided by this portal is for informational purposes only. Users should consult with qualified professionals for all tax, legal, and investment decisions.

6. Data Processing Addendum (UK GDPR Article 28)

  • 6.1 Roles and ScopeThis Addendum applies to the processing of personal data related to Tenants and Directors (“User Data”) by EasyBTL on behalf of the Landlord. Both parties acknowledge that for the purposes of UK GDPR, the Landlord is the Data Controller and EasyBTL is the Data Processor.
  • 6.2 InstructionsEasyBTL shall process User Data only on the documented instructions of the Landlord, including the maintenance of property records, tenancy agreements, and financial transaction tracking.
  • 6.3 Confidentiality and Security
    • Personnel: EasyBTL ensures that persons authorised to process User Data have committed themselves to confidentiality.
    • Technical Measures: EasyBTL implements strict technical and organisational measures, including Row Level Security (RLS) and Encrypted Storage, to ensure absolute data isolation between different organisations.
  • 6.4 Sub-processorsThe Landlord provides a general authorisation for EasyBTL to engage the following sub-processors: Clerk (authentication and identity management), Supabase / PostgreSQL (database hosting and file storage), and Resend (transactional email delivery). EasyBTL shall inform the Landlord of any intended changes concerning the addition or replacement of sub-processors.
  • 6.5 Data Subject RightsEasyBTL shall, taking into account the nature of the processing, assist the Landlord by appropriate technical and organisational measures for the fulfilment of the Landlord’s obligation to respond to requests for exercising Data Subject rights (e.g., a tenant’s right to access or erasure).
  • 6.6 Deletion or ReturnUpon termination of the subscription and at the choice of the Landlord, EasyBTL shall delete or return all User Data to the Landlord. The Landlord acknowledges that EasyBTL may retain anonymized, non-identifiable financial transaction metadata (e.g., historical rent amounts and dates) strictly to preserve the mathematical integrity of the Landlord's historical company performance metrics and "Real Estate Alpha" benchmarking. This retention applies only where all PII (Personally Identifiable Information), including Tenant and Director names, professional contact details, and specific property addresses, has been permanently purged or scrubbed. EasyBTL shall further retain records where UK law (including HMRC requirements) necessitates the continued storage of financial records for accounting or tax purposes.
  • 6.7 AuditsEasyBTL shall make available to the Landlord all information necessary to demonstrate compliance with Article 28 of the UK GDPR and allow for and contribute to audits or inspections conducted by the Landlord.
