EasyBTL Institutional Governance

Informational Purposes Only

EasyBTL is a property management software portal. It is not a financial adviser and does not provide investment, legal, or tax advice. All financial figures — including Real Estate Alpha and ROE Engine outputs — are derived from user-inputted data and presented for informational purposes only. EasyBTL expressly excludes all liability for financial loss, tax penalties, or filing errors arising from inaccurate or incomplete input. On applicable plans, partner accountants assume independent responsibility for any verified submission.

1. Subscription & Access

By selecting a “Pro”, “Pro Plus”, or “Elite” tier, you agree to a recurring subscription billed automatically via Stripe, our payment processor. Subscription access is provisioned immediately upon successful payment confirmation. 1-Property portfolios may access the “Basic” tier at no cost. Subscriptions renew automatically at the end of each billing period unless cancelled. You may cancel at any time through your account settings; cancellation takes effect at the end of the current billing period with no partial refunds issued for unused time.

2. Financial Data & Alpha Logic

Our "Shadow Portfolio" simulation tracks performance against indices like the S&P 500 and L&G Tech Index. While we utilize professional market data sync engines, we are not responsible for inaccuracies in third-party data or user-inputted values. Past performance tracked via our engine is not indicative of future results.

3. Data Stewardship & Tenants

As the Landlord, you act as the Data Controller for any tenant data (Name, Email, Phone) or Director data uploaded to the platform. EasyBTL acts as a Data Processor, maintaining this data securely within your private organization silo using Row Level Security. You warrant that you have the legal right to process and store this information.

4. Compliance Accuracy

EasyBTL provides automated alerts for compliance certificates (EPC, Gas, EICR) and mortgage expiries. These are reminders only. The ultimate legal responsibility for meeting statutory housing requirements and mortgage obligations remains solely with the Property Owner.

5. Limitation of Liability

To the maximum extent permitted by UK law, EasyBTL shall not be liable for any financial losses, including those arising from “Dead Equity” signals, remortgage decisions, or tax calculations (including FRS 105 reports). EasyBTL expressly excludes all liability for any tax penalties, surcharges, interest, fines, or filing errors incurred by the Landlord as a result of relying on data, reports, or outputs generated by the platform.

By clicking 'Approve' or 'Lock' on any platform-generated accounts, the User provides an irrevocable legal instruction to EasyBTL and its partner accountants to submit those records to Companies House. EasyBTL is not responsible for penalties or fines resulting from inaccurate data provided by the User or for filing delays caused by Companies House system outages.

Data and reports for FRS 105 micro-entity accounting statements are based solely on user-inputted data and must be reviewed and verified by a qualified accountant before submission to HMRC. The information provided by this portal is for informational purposes only. Users should consult with qualified professionals for all tax, legal, and investment decisions.

6. Data Processing Addendum (UK GDPR Article 28)

  • 6.1 Roles and ScopeThis Addendum applies to the processing of personal data related to Tenants and Directors (“User Data”) by EasyBTL on behalf of the Landlord. Both parties acknowledge that for the purposes of UK GDPR, the Landlord is the Data Controller and EasyBTL is the Data Processor.
  • 6.4 Sub-processorsThe Landlord provides a general authorisation for EasyBTL to engage the following sub-processors: Clerk (authentication), Supabase (database), Resend (email), Stripe (payment processing), and Authorized Partner Accountancy Firms (for the provision of Pro Plus or Elite tier review and filing services).
  • 6.6 Deletion or ReturnEasyBTL shall delete or return all User Data upon termination. EasyBTL may retain anonymized financial metadata strictly to preserve the mathematical integrity of historical "Real Estate Alpha" benchmarking.

8. Payments & Billing

8.1 Payment ProviderAll subscription payments are processed by Stripe, Inc. (“Stripe”), a PCI-DSS Level 1 certified payment processor. EasyBTL does not store, transmit, or have access to your full card details. By providing payment information, you authorise Stripe to process charges on EasyBTL's behalf.

8.2 Automatic RenewalPaid subscriptions renew automatically at the end of each billing cycle. You will be charged the applicable subscription fee using the payment method on file. EasyBTL will provide advance notice of any price changes before they take effect.

8.3 Failed PaymentsIf a payment fails, EasyBTL reserves the right to suspend access to paid features until payment is successfully collected. Stripe may attempt to retry failed charges in accordance with their standard retry schedule.

8.4 Cancellation & RefundsYou may cancel your subscription at any time via your account settings. Access to paid features continues until the end of the current billing period. EasyBTL does not provide refunds for partial billing periods. Refund requests in exceptional circumstances may be submitted to support@easybtl.co.uk and are at EasyBTL's sole discretion.

8.5 Stripe TermsUse of Stripe's payment infrastructure is subject to Stripe's own Services Agreement and Privacy Policy. By making a payment, you also agree to be bound by Stripe's terms to the extent applicable.

9. Pro Plus & Elite Filing Services

7.1 Scope of ReviewThe 'Accountant Review' included in the Pro Plus & Elite tier is limited strictly to a compatibility check of platform-generated FRS 105 micro-entity accounts for filing purposes. It does not constitute a full audit, tax investigation, or personal tax advice.

7.2 No Re-keyingThe filing service relies entirely on the 'Gross minus Gross' data within the platform. Partner accountants will not manually re-enter data from external sources; accuracy is the sole responsibility of the Landlord.

7.3 Flat Rate PolicyIncluded filing covers one (1) Companies House submission per financial year. Amendments or complex restructuring advice are outside the scope of the standard Pro Plus and Elite subscriptions.

7.4 Filing AuthorizationBy subscribing to the Elite tier, the User appoints EasyBTL and its designated partners as their 'Authorized Filing Agent' for the limited purpose of submitting annual accounts to Companies House.
